Budget
By building and type.
Invoices follow UK practice: 20% VAT shown separately, HMRC Making Tax Digital in mind, and payment by Faster Payments, Bacs or card. Keeping a separate spreadsheet per building makes year-end consolidation hard. The system collects income and expenses by building and account, compares them with the budget and gives your accountant a clean export.
The annual budget is entered by building and cost type. Actual costs come from invoice records; the variance and a comment field appear together.
Management can define threshold amounts.
Incoming invoices go to approval by authority; approved ones enter the payment list. At period end the postings are exported in the format your accountant uses.
It does not replace a full accounting package; it feeds the one you already use.
By e-mail we discuss your processes, roles, existing systems and how data is moved, and set the scope in writing.
We build the solution around your workflow and connect it to e-mail, calendar, documents and payment.
We test every flow with realistic cases, train your team and go live only when it is right.
Amounts are in GBP. The chart of accounts and export format are clarified with your accountant; plans such as the UK SME chart can be used; tax and statutory reporting are out of scope.
It works through an export file; a direct interface is assessed separately if needed.
