Plan
Rent and fees.
Invoices follow UK practice: 20% VAT shown separately, HMRC Making Tax Digital in mind, and payment by Faster Payments, Bacs or card. Preparing dozens of rent or fee invoices every month, tracking payments and chasing arrears by hand takes days. The system produces invoice and QR code from the payment plan, matches incoming payments and lists open items.
Rent, fees and utility advances are planned per unit. On the invoice date PDF and QR code are prepared and e-mailed; incoming payments are matched using the bank file.
The bank file format is clarified with your bank.
Unpaid items are listed; stepped reminder texts are sent with your approval. Management sees in one list who owes how much.
Legal procedures (e.g. formal notice) are out of scope.
By e-mail we discuss your processes, roles, existing systems and how data is moved, and set the scope in writing.
We build the solution around your workflow and connect it to e-mail, calendar, documents and payment.
We test every flow with realistic cases, train your team and go live only when it is right.
Bacs and Faster Payments are the UK payment standards. The payment reference and bank file format (e.g. Bacs) are clarified with your bank and accountant. Amounts are in GBP.
Yes; the deposit status appears in the unit record, with rules set with you.
