Shipping: delivery note, QR-bill and payment tracking

Preparing shipping documents and invoices by hand causes errors and delays. The system creates the delivery note from the completed work order, then the QR-bill invoice, adds the batch number and matches the payment.

  • Roles and audit log

Documents

When the work order is completed the delivery note is prepared with product, quantity and batch. The invoice is created in QR-bill format in CHF or foreign currency and sent by e-mail.

Customs documents and export declarations are handled separately with the forwarder.

Follow-up

When the bank file is uploaded paid invoices are marked and staged reminder e-mails go out for overdue ones. An open-receivables list per customer is ready.

Accounting entries are passed to the accounting system; this system is not an accounting program.

Swiss-specific points

In Switzerland B2B invoices are widely paid with the QR-bill and the customer’s language may be DE, FR or IT; the document is prepared in the customer’s language. VAT rates and export rules are clarified with the accountant or customs advisor.

Frequently asked questions

Are delivery notes and invoices separate per language?

Yes; the document template is chosen by the language in the customer record.
