Tenant and building journey

Utility statement: record all year, issue at year end

The year-end statement is quick if records are kept regularly through the year. This page shows the process step by step: costs, meters, allocation, review and dispatch.

  • German, French, Italian, English
  • QR-bill and CHF
  • Roles and audit log

Through the year

Incoming invoices are entered by item and building. Meter readings are added at period end by file or by hand.

The system shows a warning list for missing entries.

At year end

The allocation key is chosen, each unit’s share is compared with advances. Management reviews; PDFs go to tenants by e-mail and are filed.

Final responsibility for the figures rests with management.

Your benefits

How we work

  1. 1

    Clarify the need

By e-mail we discuss your processes, roles, existing systems and how data is moved, and set the scope in writing.

  2. 2

    Build and connect

We build the solution around your workflow and connect it to e-mail, calendar, documents and payment.

  3. 3

    Test and launch

We test every flow with realistic cases, train your team and go live only when it is right.

Swiss-specific points

In Switzerland the utility (Nebenkosten) statement usually rests on advance payments (Akonto) and an annual statement. Period, items and deadlines follow your tenancy contracts; no legal assessment is made.

Frequently asked questions

Can I run an interim statement?

Yes; it is prepared the same way for a chosen period.

What happens when a tenant changes?

The statement is split by the relevant period; you define the rules.
