Invitation
Agenda and documents.
Customers in Qatar commonly identify themselves with a QID, so forms and records leave room for it. When invitations, proxies, vote counts and minutes live in separate files, the decision history gets scattered. The system sends the invitation, records attendance and votes and links minutes and decisions to the records.
Agenda items are added, documents attached and the invitation sent by e-mail. Owners reply; those giving a proxy are entered on the list.
Deadlines and majority rules come from settings you define.
During the meeting the result of each item is recorded. A draft of the minutes is created automatically, management edits it and the approved version goes to the archive.
No assessment of legal validity is made.
By e-mail we discuss your processes, roles, existing systems and how data is moved, and set the scope in writing.
We build the solution around your workflow and connect it to e-mail, calendar, documents and payment.
We test every flow with realistic cases, train your team and go live only when it is right.
For condominium ownership (STWE) the meeting format, majorities and deadlines depend on your regulations and the legal framework. The system holds them as configurable fields; it does not give legal advice.
Attendance and vote entry are done in the system; a video meeting tool is used separately.
