Fee flow: from plan to payment and reminder

Fee follow-up in schools usually peaks at month-end: prepare invoices, send, match payments, remind. When these steps are linked, the office sees open items instead of merging spreadsheets at period end.

  • English and community languages
  • Pupil data and GDPR in mind
  • Roles and access log

Invoice and payment

At the start of a term the fee plan is defined. On the invoice date the system prepares the PDF and QR code and sends it to the parent by e-mail.

The parent pays through their own bank.

Follow-up and report

Incoming payments are matched, and open items trigger stepped reminders. Management sees open fees and collection summary in the report.

Reminder texts are set with your approval.

Your benefits

How we work

  1. 1

    Clarify the need

By e-mail we discuss your processes, roles, existing systems and how data is moved, and set the scope in writing.

  2. 2

    Build and connect

We build the solution around your workflow and connect it to e-mail, calendar, documents and payment.

  3. 3

    Test and launch

We test every flow with realistic cases, train your team and go live only when it is right.

Swedish-specific points

Invoices are prepared in SEK with the Klarna standard. Klarna biller code, reference and bank file format are clarified with your bank and accountant.
